Membership type, start date, and payment history
Direct debit authorisation details (processed and stored by Stripe — we do not store full card details)
Student ID or verification documents (for student membership eligibility)

Session attendance records
Training results, lift records, and performance data logged via Beyond The Whiteboard

In some circumstances, we may collect information from third parties such as Stripe (payment processing), Momence (booking platform), Proform Physio (movement assessments), or Beyond The Whiteboard (training app). We will notify you when this occurs.
4. Why We Collect and How We Use Your Information
We only collect personal information for purposes directly related to the delivery of our services. These purposes include:

Momence — class booking, timetabling, and member communications

Proform Physio — movement assessment (with your consent)
Partner network (LSKD, City Cave, Rec Gen, Sodii) — only to the extent required to deliver partner benefits you have opted into
5.2 Legal & Regulatory Disclosure
We may disclose your information where required to do so by law, regulation, court order, or where we believe disclosure is necessary to protect the safety of any person or to comply with a legal obligation.
5.3 Business Transfers
In the event that Fitdistrict is sold, merged, or restructured, personal information held by us may be transferred to the acquiring entity. We will notify affected members prior to any such transfer.
All third-party service providers are required to handle your personal information in accordance with applicable privacy laws and are prohibited from using it for any other purpose.
6. Overseas Disclosure
Some of our third-party service providers (including Stripe, Momence, and Beyond The Whiteboard) may store or process data on servers located outside Australia, including in the United States. Fitdistrict takes reasonable steps to protect your personal information from misuse, loss, unauthorised access, modification, or disclosure. Our security measures include:
Secure, password-protected digital systems and platforms
Payment data processed exclusively through PCI-DSS compliant Stripe (we do not store full card numbers)
Access controls limiting staff access to member information on a need-to-know basis
Secure disposal of personal information that is no longer required
While we take all reasonable precautions, no method of electronic transmission or storage is completely secure. In the event of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) scheme.
8. Data Retention
We retain your personal information only for as long as is necessary for the purposes for which it was collected, or as required by law. Our general retention approach is:
Active member records — retained for the duration of your membership plus 7 years (for compliance with Australian tax and consumer law requirements)
Health and medical information — retained for the duration of your membership plus 7 years
Financial and payment records — retained for 7 years in accordance with Australian tax law
Marketing preferences and non-critical data — deleted upon request or within 30 days of membership cancellation where not legally required to be retained
Waitlist and casual visit records — retained for 12 months
When your information is no longer required, we will take reasonable steps to destroy or permanently de-identify it.
9. Your Privacy Rights
Under the Australian Privacy Act and APPs, you have the right to:

You may request access to the personal information we hold about you at any time. We will respond to access requests within 30 days. We will not charge a fee for making a request, though a reasonable fee may apply for providing access in certain circumstances.
9.2 Correct Your Information
If you believe any information we hold about you is inaccurate, incomplete, or out of date, you may request a correction. We will take reasonable steps to correct the information promptly.
9.3 Request Deletion
You may request that we delete your personal information. We will assess each request and delete information where we are not legally required to retain it. Where deletion is not possible (e.g. financial records required for tax purposes), we will advise you accordingly.

You may opt out of receiving marketing communications from us at any time by clicking the unsubscribe link in any email, replying STOP to any SMS, or contacting us directly at hello@fitdistrict.com.au. Note that opting out of marketing does not affect operational communications related to your membership.

Where your information is processed on the basis of consent (e.g. photography, marketing), you may withdraw that consent at any time by contacting us at hello@fitdistrict.com.au. Withdrawal of consent does not affect the lawfulness of any processing carried out prior to the withdrawal.
